Configure and Manage the Calendar Integration

This feature is available to customers on eligible subscription tiers and requires enablement by our team. To request enablement, contact Pulsara Support. 

Pulsara’s On Call Calendar Integration utilizes a team member’s working shift from their organization’s scheduling tool to inform their Pulsara My Call Status. This allows for automatic toggling on/off of their call status at the proper times. 

This feature is targeted for team members such as surgeons and physicians who may be resistant to managing their own call status, and whose schedules are fairly dependable (minimal late stage changes). 

Note: This integration is highly effective for teams

Minimum Requirements to Utilize the Calendar Integration Feature

  • Utilize a compatible scheduling vendor

  • If vacation is documented in the on-call calendar, the user’s shifts have consistent event titles to filter on.

  • Users have their own iOS or Android device - do not utilize a shared device for the team.

  • Note: Users can not be on a team with "require one user to be on call" enabled. Use of automated on call schedules is not supported with this kind of team.

Set Up the Integration

  1. Verify you have the Hospital name(s), Team name(s), User first and last names that will be configured for the calendar integration, as well as the needed Subscription link for each user / team. For details on how to retrieve a subscription link, see the KB article Retrieve iCal Links.

  2. Navigate to Manage Call Status for the hospital. A user will be listed per team they are a member of. Click the “eye” details button to add the iCal link to each user at the team level. 

  3. Paste the link

  4. The calendar should populate.
    1. If you receive an error message, ensure the calendar is set to "Public".
    2. If all event descriptions simply say, "Busy", set the calendar to "See all event details". 
  5. Review the calendar. If there are PTO events, overlapping shifts, other calendars, birthdays, parties, etc. a filter will need to be added.

Adding Filters

  1. Review the calendar events that display when a calendar sync is added into Pulsara and note how the event titles are labeled.

    1. Note: It may be helpful to capture an image of the calendar without a filter applied if more than one filter is needed. As soon as a filter is applied, only those filtered events will display. 

  2. Click the Add Filter button. 

  3. Type in the exact match for the title of the calendar event you want to include. 

    1. Note: If this title is changed, the filter will no longer apply to that event. Some scheduling vendors will add any notes added to the event in the title which will cause the filter to ignore the event.

  4. Click Add. 

  5. Repeat to add more filters as needed

  6. Click Save

Frequently Asked Questions

Why does my calendar preview show that Pulsara has “merged” events?

This occurs when two or more consecutive or overlapping events have been scheduled. For example, when one shift ends, and the next shift starts at the same time (ex: STEMI On Call 7a-7p and STEMI On Call 7p-7a) or two or more events have been scheduled for the same timeframe (ex: STEMI On Call 7a-7p + Stroke On Call 7a-7p), then the events will be combined into a single On Call window in Pulsara.

Will Manual Call toggling remain available?

Yes. Manual call status toggling will remain available/functional to allow the user to respond in unexpected situations.

Can I schedule my next On Call or Off Call in Pulsara when calendar integration is active?

No. You cannot use the native Pulsara app feature to schedule the next On Call or Off Call times. This prevents a Pulsara-specific schedule from conflicting with the “source of truth” provided by the scheduling vendor. To fix any issues with your future schedule, correct them directly in the scheduling vendor software.

How often does the calendar sync occur?

The sync occurs every three hours, and again 20 minutes before the next shift starts or the current shift ends. For last-minute schedule changes, the schedule can be manually synced by opening the On Call Calendar Integration side panel for the User+Team.

Will I get notified before I am automatically toggled on call?

Yes, the system will send you a push notification 15 minutes before you are automatically toggled on call. These push notifications default to not make any sound, in case you are asleep when you automatically go on call.
